Privacy policy

1. What we collect
Account information. Your name, work email address, phone number if you give one, your organisation’s name, type, region and public profile details, and the account type you applied for.
Content you upload. Product drawings, three-dimensional models, catalogues, project designs, site photographs and site measurements. These are business records rather than personal information, but a site photograph can incidentally include a person.
Site measurements from the phone app. If you use the Park Plan field-capture app, it captures photographs, device orientation and, where you allow it, the location of the site you are measuring. Location is used to place the measurement and to fetch aerial context for that site. You can decline location access and still measure.
Support requests. What you write, plus the page you were on, the project you had open and your browser details, captured automatically so that a fault can be reproduced.
Payment information. Handled by Stripe. We receive your billing name, country, the last four digits of the card and the status of your subscription. We never see or store a full card number.
Usage information. Basic server logs and error reports. We do not use advertising trackers and we do not sell personal information to anybody.
2. Why we collect it
To create and review your account, to provide the service you have subscribed to, to process files you upload and report on what they contain, to take payment, to answer support requests, to tell you about changes to the service or these policies, and to meet our legal obligations.
We do not use your uploaded product data or designs to train artificial intelligence models, and we do not make your content available to other customers except through the visibility settings you control yourself.
3. Who we share it with
Only with the service providers we need to run Park Plan: Supabase (application database, authentication and file storage), Cloudflare (hosting and content delivery), Stripe (payments), and Google Workspace (email). Each of them handles the information only to provide their service to us.
Your public directory profile is visible to anyone. Your products and prices are visible only as you have set them. We disclose information to anybody else only with your consent or where the law requires it.
4. Where it is stored
Park Plan’s application data and uploaded files are stored in Sydney, Australia. Some of our providers operate global networks, so information may transit servers outside Australia in the course of being delivered to you. We choose providers that commit to protecting information to a standard consistent with the Australian Privacy Principles.
5. How we protect it
Access to customer data is restricted to the people who need it, protected by multi-factor authentication, and separated between organisations at the database level so that one customer cannot read another’s. Data is encrypted in transit and at rest, and backed up.
No system is perfectly secure. If a breach occurs that is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner promptly, and in any case within any period our contract with you requires.
6. How long we keep it
For as long as your account is open. If you cancel, we keep your content for thirty days so the account can be reinstated, then delete it. We keep the records that tax and business law require us to keep, such as invoices, for as long as the law requires.
7. Access, correction and complaints
You can see and correct most of your information yourself in Settings. For anything else, send a request through the support page and we will respond within thirty days. You can ask us to delete your account and your content at any time.
If you are not satisfied with how we have handled your information, tell us first and we will try to put it right. If you are still not satisfied you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
8. Changes to this policy
We will post any change on this page and update the date at the top. If a change materially affects how we handle your information we will tell you by email before it takes effect.
